opportunity


The Workplace
Coordinator is a key member of the Facilities team. The objective of the team
within Core Business Services (CBS) is to support EY Partners and staff to
consolidate their vision to be market leader.

The role has the responsibility for coordinating
the facilities and resources necessary to ensure efficient operations of the EY
tenancy.

Your key
responsibilities

Coordination
of the tenancy’s reactive and preventative maintenance ensuring assets are in
good repair and operational at all times
Cover
Switchboard calls for Melbourne and Sydney during times of leave and absence
from the Switchboard team
Manage the
Maintenance Tracking One note  ensuring
all requests are closed in a timely manner when rectified,
Prioritize
and arrange repairs of all maintenance requests and provide timely updates to
the requestor.
Coordinate
external contractors and ensure all work is carried out as per safe work method
statements (SWMS) and EY OHS contractor guidelines
Manage the
Preventative Maintenance schedule and activity planner by ensuring it is
current and scheduled maintenance is taking place
Participate
in building evacuations, Office safety checklists and emergency contacts in
line with EY’s WHS policy and procedures
Oversee
monthly sustainability administration and assist in energy reduction
initiatives to attain and sustain EY’s NABERS commitment agreement
Source
quotes, issue purchase orders and process invoices in accordance with EY’s
agreed processes
Security and
Access passes pass administration for starters/leavers and ad hoc requests
Conduct
regular floor walks to check for cleaning/clutter/furniture reset/check for
supplies in meeting rooms.
Compile
monthly reports including but not limited to waste, energy consumption,
maintenance requests and occupation
Review
processes to ensure alignment with nationally approved processes
Review and
update any incident/hazard requests and report issues to the Facilities Manager
and workplace WHS team
Coordinate
minor tenancy churn and relocations
Foster and
maintain positive working relationships with clients, external/internal service
providers and consultants,
Document and
effectively manage defect liability requirements related to EY tenancies
Attend
weekly cleaning inspection of EY tenancies and effectively manage EY
requirements to ensure high cleaning standards are met
Support the
Workplace of The Future initiatives, including managing lockers and storage,
driving behavior change
Lead direct
reports, encourage teaming and exceptional customer service and instigating an
open high-performance culture
To
qualify for the role you must have

Experience
Three
years plus years’ experience in a similar role (preferably within a large to
medium professional services or corporate environment)
Relevant
experience in a service, trade and/or Building Maintenance
