In this position, you will directly support the General Manager, Downstream Finance, and the Downstream Controllers group, providing outstanding administrative support across 7 locations in Canada and the US.

Key Accountabilities


- Manage the logistics of monthly and quarterly leadership meetings, including coordination of the agenda, documents and attendees
- Provide calendar management for the General Manager's and Directors' calendars, addressing frequent changes and other reprioritization
- Schedule and organize weekly/monthly team meetings
- Schedule and coordinate presentation materials and set-up technology forTownhalls, including remote work locations (Sarnia, Montreal, Denver, Commerce City, Edmonton and Calgary)
- Prepare monthly expense reports and analysis for budgeting purposes
- Support business processes and organizational initiatives
- Respond to requests and inquiries, developing strong relations with administrative colleagues and internal stakeholders at all levels
- Prepare new hire information and coordinate all on-boarding details
- Manage comprehensive travel arrangements
- Coordinate team-building events and activities at multiple office locations as requested by the leadership team
- Oversee, administer, and champion technology, particularly telecommunications and relevant new applications to enhance multi location interaction

Must-haves (minimum requirements):


- Five years of administrative work experience in an equivalent role
- A high school diploma or General Education Diploma (GED)
- Strong computer skills, including expert-level Microsoft Office skills in Outlook and Powerpoint (and Yammer/internal media channels)
- Excellent interpersonal, teamwork, and communication skills
- A high level of curiosity, engagement and willingness to learn
- A proven high level of attention to detail, undertaking all work in a planned, methodical, and accurate manner to meet tight deadlines
- Adaptability and you are able to accommodate multiple requests from key stakeholders in a diplomatic manner
- Alignment with our values

Preference for:


- Experience supporting multiple leaders
- Proficiency with SAP, Livelink, Skype, and other telecommunications applications
- A continuous improvement attitude with a hardworking positive demeanor ready to face a dynamic and changing work environment

Where you'll be working, your work schedule, and other meaningful information:


- You will work out of our Downstream head office in Mississauga, located at 2489 North Sheridan Way
- Hours of work are a regular 40-hour work week, Monday to Friday
