This role supports many of the day-to-day functions that occur in the Cambridge site, as well as being responsible for many administrative functions to support the management team, sales department and customer facing departments such as Support, Onboarding and Premiere.
This role has a strong holistic understanding of the operations of the business and is responsible for co-ordinating annual and one-time events and initiatives. Organization is a critical function of this role, as the bulk fo the tasks and responsibilites rely on a high level of orgnaization and very strong attention to detail.
Responsible for organizing annual and “one time” events that occur within the Cambridge site, examples of this are Townhall presentations that occur quarterly, company BBQs and holiday events.
Assists in organizing the annual Sales conference as well as the Customer Advisory Council meetings when they are conducted.
Responsible for assigning and monitoring the completion of discontinued customer accounts, to the team who completes this process. Completing the initial contact with the customer and ensuring that accounts are closed in a timely manner.
Responsible for creating cheque entries for accounting department (to satisfy audit compliance) for payments to FRO, Garnishments, WSIB and Employee Direct Deposit rejects in the AS400.
Orders promotional products on behalf of sales team, as well as any promotional products required for other departments (training).
Creates weekly reports for specific departments including Voice of Customer, Sales Funnell Reports and Partner Reports, etc.
Distributes information on behalf of HR for newly hired employees.
Books travel arrangements on behalf of employees and management team as necessary.
Greet visitors and informs staff of visitor's arrival
Preparing correspondence and maintaining office filing system
Boardroom bookings/scheduling of meetings and related catering
Updates information within the office such as HR Policies, Health and Safety and updated collateral from Deluxe (SBR, refreshed posters, specific initiatives)
Position may include other duties as determined by the company.
Education: Associates (or certificate) Specify: Or Equivalent
Field of Study: Office Admin, business or other related field
Total Number of Years Relevant Experience: 2-5

Critical Knowledge / Skills / Abilities:
Highly proficient with MS office suite of products
Excellent written and verbal communication skills
Highly organized; able to multitask
Able to work independently, and self-manage
Ability to collaborate with teams and individuals at various levels with the organization
