Personal Assistant

Overall Purpose:

You will provide comprehensive support to the Director.  Strong planning, organizational, interpersonal and communication skills are essential as you will be working with a wide range of senior stakeholders, You will be a team player who is capable of building key relationships with teams in the various markets. 

Main Responsibilities:

Within the role you will schedule, influence and shape the demands made on your manager’s diary to optimise delivery to the business.  You will provide a full complex global travel support and be responsible for the management of visa applications to support this travel.   You will prepare expense reports accurately and on time and also prepare and update spreadsheets, documents, reports and presentations, which may regularly contain highly confidential and personally sensitive information.  

You will be working globally across different time zones and cultures, therefore, a flexible approach and the ability to communicate across many different countries will be important.

Essential Skills:

Calendar management, arranging VC and internal meetings across multiple geographies
Meeting arrangement both internally and externally
Expense management
Book travel + hotels + Visas
Liaise with local facilities & IT as required
Raise Purchase Orders / Payments
Track travel and project budget spending across the team
 Ability to work across different time zones and across different cultures
Acts as a resource, knowledge base in own department for company policies and procedures
Strong delivery focus – able to demonstrate that he or she has taken direct personal responsibility to ensure activities are delivered on time and to budget.
