Assistant Manger, Office Admin & Support Consumer Banking Business Function

Responsibilities
Expenses Handle both ad hoc and regular payments, staff expense claim reports Maintain various expense reports and handle the filing

Data / Document / Voice Record Proper handling of document archive / retrieval, green bag disposal, data backup, voice log access, shared drive access

System Access Right Control Act as AIM approver / coordinator to manage access rights applications and approval according to relevant guidelines and the users' role and responsibility

Office Equipment / Supply Handle physical and excel inventory including setup, transfer, deletion, maintenance, payment and cost control : IT equipment, non-IT items, communication tools, market data terminals Monitor the stock of and replenish stationery, pantry supply, letterhead, envelope, paper, toner, other office supplies, etc.

Premises Related Manage cabinet, key distribution and inventory Act as an OSH coordinator / a housekeeper on regular and ad hoc maintenance and repair of the premises related items Responsible for seating and restacking arrangements Handle door access applications and perform half-yearly reviews

Staff Related Responsible for staff onboarding and exit procedures Maintain staff related records / reports Act as a staff event coordinator

Travel Record / Issue Collect monthly "Travel Threshold Reports" and conduct sample checking Handle travel booking related enquiries

Training Coordinator Liaise with relevant parties to coordinate WM new joiner trainings and business specific trainings Track the regular CPT / KPI / outstanding eLearning reports to ensure all staff fulfill the requirements

IT Related Assist to handle or escalate daily IT related issues / requests

BCP Act as BCP Manager and Coordinator to work on BIA, BCP and required drills and alternate site setup

Office Assistant (Contract Staff) Management Admin Manager supervises contract office assistants to carry out their job duties properly and effectively so as to ensure a smooth and efficient office operation and a clean and tidy office environment


- KYC Review Support Provide support to KYC team on negative news name screening clearance


- Presentation Provide support to COO on presentation deck preparation


Requirements


- Administration experience in a banking or financial institution
- Proficiency in MS Office including Word, Excel and PowerPoint
- Fluent in spoken & written English and Chinese
- Good communication and organizational skills
- Strong sense of responsibility, deadline-oriented, solution-focus, detail-minded
- Able to work independently under pressure and tight timelines
