Import OLM to Windows Outlook 2016 Manually

Whether it be the normal computer with any version of the operating system as  Windows or Mac, both of these platforms store their mailbox data in different types of files. Both these OS comprises of the desktop-based email client, which stores the mailbox copy in a particular file format. There exist an email client, named as Microsoft Outlook, which is available both for Apple as well as Microsoft Windows OS. Generally, Outlook data on Windows is stored in PST or OST file format whereas on the other hand, Mac Outlook 2011 or 2016 export data in OLM file format. Overview of OLM File:

 The file extension for OLM is .olm and OLM stands for Outlook for Mac. It was introduced with Outlook 2011 for Mac. The file serves the same purpose on Mac as PST does on Windows. Like PST, OLM also stores mailbox data such as email, calendar, contacts, notes, etc.

Note: OLM file belongs particularly to Mac. So, it cannot be opened through Windows Outlook.

In order to perform this conversion, the first thing a user needs to do is locate the physical OLM file. By default, OLM file can be found at these 2 system locations:

-- Documents\Microsoft User Data\Office 2011 Identities\Main Identity\Databases
-- Documents\Microsoft User Data\ MS Office 2011 Identities\Main Identity\Data-Records\Message

But, here comes a twist. Even after you will open the above-mentioned locations, you won’t be able to see it physically here. Surprising, Isn’t it! Anyway, what you are required to do is you need to generate it by saving the mailbox data in OLM format. This can be done by performing below mentioned steps:

1. Open MS Outlook for Mac and click on File >> Export. A new Export window will open in front of you.

2. Select all the data visible on the location.

3. An option of "Delete items" after exporting appears on your screen. Click on "Do not want to delete them".

4. "Save as" option will emerge on your screen. Choose the destination location where you want to save this OLM file. Finally, click on Save.

Now using these steps, our OLM file has been saved. Next step is to import this OLM file in IMAP Gmail account. To achieve the same, follow the mentioned steps:

Step1: Create a Gmail or any other email account, which uses IMAP server. If you already have one, directly come to step 2

Step 2: Configure your Gmail account with Outlook for MAC

i. Open Outlook for Mac. Click on

ii. An Account window opens in which you have to click on the Add icon

iii. Select the email address from the pane

iv. Next step is to provide your email address, password, and username for Gmail account.



v. Type imap.gmail.com as Incoming server

vi. Click on Use SSL connect

vii. Type smtp.gmail.com as the outgoing server. Check both the options below Outgoing Server

viii. Insert Outgoing Port as 465 and then click on Add account

ix. On the left side, a yellow button shows that connection establishment has started. When the connection is made, this button turns green.

Step 3: Import OLM file to Configured Gmail account

i. Right, click on the required folder and Select Copy

ii. Choose destination folder in your Gmail Account

iii. A bar will appear on the bottom of the screen showing messages uploaded.

iv. Once done, Refresh your account.

Step 4: Time to Configure Gmail id in Windows Outlook

i. Start Outlook >> click on File >> Info >> Account settings

ii. A new window will open where you have to click on the New icon.

iii. Select Additional Server Type



xi. Choose encryption type as SSL

xii. Enter Outgoing Server Port as 465.

xiii. Select OK.

xiv. Choose Test Account Setting and then on Finish.

Step 5: Export mailbox data from Gmail to Windows Outlook

i. Open your Gmail account and select Settings option

ii. Choose Forwarding and POP/IMAP option



iii. Under IMAP Access tab, click on Enable IMAP



iv. If required, enable Auto-Expunge On.

v. If you wish to archive your emails, click on Archive.

vi. Choose Save Changes

vii. Start your Outlook, and Select Send/Receive messages.

Disadvantages of manual method

Though the above-mentioned procedure can help us to import OLM to Outlook, it comes with some of the limitations:

    -- The process is very complex. This can confuse a non-technical person.

    -- The steps need to be performed manually. Hence, it is very time-consuming.

    -- This process is risky as any mistake may result in loss of data.

    -- To avoid these problems, the Automated method can be used.

    # 2: Automated Method

      This method can be used to convert OLM to PST using third party software OLM to PST converter. The software provides a direct solution to import OLM file in Windows Outlook 2016.
