Mosaic LGBT Youth Centre is looking for a skilled and experienced Administration Officer to support, coordinate and provide administrative help to the charity. We are a small, but dynamic charity with massive ambitions and the Administration Officer will be a key role in helping us to run more efficiently.

This contract is for a one fixed day a week (Wednesday) we would prefer a later start 10am, but that is negotiable / flexible. This is a one year fixed term contract with possibility of extention.

General Information:

Mosaic LGBT Youth Centre is a London-based registered non-profit organisation, which is specifically designed for young lesbian, gay, bisexual, and transgender (LGBT+) people, as well of those who are questioning their sexuality and/or gender identity, aged thirteen to nineteen. We have three central aims – to support, educate, and inspire young LGBT+ persons.

We work with LGBT+ young persons by creating safe and supporting spaces that foster a sense of community and belonging. We do this through providing spaces where individuals can explore their sexuality and gender identities, something that they may not have outside of Mosaic. We deliver educational and culturally rich activities that help the young persons to understand their place in the world.

Roles and Responsibilities:

The Administration Officer is responsible for managing the financial, monitoring and evaluation and HR data within the organisation for the Director of Services. You will be supporting the Director of Services to gather, process and report on a range of data and information.

This role is incredibly important to the organisation as with its support, we will be able to grow the charity strategically and have an even higher quality of service reaching even more vulnerable LGBT+ young persons in London.

Mosaic LGBT Youth Centre is a small charity, and as a result the small staff team, team of volunteers and the Board of Trustees work closely with each other in a collaborative way to share ideas, knowledge, skills and experience to create a supportive culture. This is something we are proud of and believe enhances our success.

Knowledge and experience of working in an administrative role is essential as well as a can-do attitude.

The role will require the successful candidate to work in our shared offices in Camden, London every Wednesday when the Director of Services and Head of Youth Engagement will be working.

Job Description:

To proactively provide administrative support to the Director of Services, Head of Youth Engagement and Board of Trustees.

To provide assistance for the gathering and inputting of data on our beneficiaries through our database, including providing regular reports on the impact of our services.

To provide support for HR procedures including DBS (Disclosure and Barring Service) checks, medical and other ongoing staff and volunteer checks.

To attend meetings, take notes/formal minutes as required and report back to the Board of Trustees as appropriate.

To provide support for finance procedures including the recording, coding and processing of invoices and receipts, keeping a record of staff hours worked for payroll amongst others.

To provide support for the website and social media by updating it with information as and when the Director of Services and Board of Trustees sees fit.

To manage a calendar of events and reporting requirements that is updated and circulated on a regular basis.

Carry out any other duties appropriate to the post as requested by the Director of Services.

Person Specification:


Strong understanding and commitment to working within a voluntary organisation.

Proven experience of administration.

Evidence of the ability to prioritise work to meet the organisation’s objectives.

Ability to work flexibly to meet the needs of young persons and the charity.

Understanding of the importance of data protection.

Proven experience of managing their own time and other people’s diaries.

Good presentation and communication skills, both oral and written.

Proficient in the use of Microsoft Word and Excel, as well as recording and inputting data into a database


Having experience of working for charity sector.

Experience of managing a budget.

Understanding of LGBT community.

Experience of UpShot database or any relevant database.

Experience of using graphic design.
