About this career opportunity…


An exciting opportunity has arisen for a Business Assistant to provide a comprehensive level of confidential administrative support to UKIMEA Chair on a 1:1 basis, and to seek new opportunities to take on operational and administrative tasks to relieve the burden on that leader.


The Business Assistant will seek opportunities to take on or proactively re-allocate tasks to more appropriate owners, and will be responsible for managing, and taking complete ownership of, the Leader’s diary, managing conflicts and suggesting solutions. You will also establish protocols for actioning email, manage the Leader’s task list, and share information with others as appropriate, as well as provide cover for other Assistants on confidential and urgent matters, working collaboratively with the Business Support Team during busy spells or periods of leave.


The Business Assistant is a vital role and will require the post holder to maintain a high level of standards by recognising key stakeholders, understanding and keeping up to date with the Leader’s business and projects, and developing a good understanding of people hierarchy and dynamics internally and externally.


In addition, you will make an impact in this role by…


Taking ownership of making all necessary travel arrangements for Leader, ensuring that travel plans are aligned to the Leader’s priorities, with awareness of impact and suggest actions/solutions to maximise effective use of Leader’s time.

Attending meetings and recording, transcribing and distributing minutes as required.

Ensuring actions are followed up and any deadlines are met. Proactively updating and chasing delegated tasks to ensure progress to deadlines.

Preparing meeting papers, researching topics, sourcing input, chasing others for input, collating and formatting, preparing document and information packs to meet deadlines.

Using appropriate systems to find and research information, data and intelligence for Leader.


To achieve in this role, you are likely to…


Have a strong background in providing support at an executive level

Demonstrate experience of producing professional correspondence and documents

Be able to work as part of a team or initiate and drive projects on your own
