What impact will you make? The Opportunity
 
We require a senior, efficient, executive assistant who has several years of experience at senior level, is expert at arranging extensive trips around the world for a Global Partner in the Energy and Resources sector.  Someone who want to get involved in the business development of the sector, and support this Global Partner in his role.
 
Role description
 
An opportunity has arisen for a Senior Secretary to support 3 partners and a team of Directors and Managers.  The main partner is a senior Global Partner in the Energy and Resources sector, who travels extensively and requires a trustworthy, efficient assistant who can smoothly get him from country to country, dealing with visas, booking flights, hotels, cars and managing the amount of expenses such trips produce, and manage his inbox whilst he’s away.  He also wants someone who can become involved in some of the BD work of the E&R sector, and who will support the DRM of his main client and the Chief of Staff in his Global role.
 
The other two partners are also in the E&R sector, and Private Equity area, and require help with timesheets, expenses, travel and client meeting set ups, and the managers will ask for help with travel and meeting room bookings.

The role is based in our London campus.
 
Hours
 
The role is full time and office based.  We support Agile Working on an ad hoc basis as required.
 
Responsibilities
Extensive diary and mailbox management for Global Partner
Extensive travel arrangements.
Arrange global calls across various time zones
To answer telephone calls in a professional manner, deal with queries appropriately by delegating to appropriate staff and ensuring detailed, concise information is passed to the relevant personnel
Create documents, spreadsheets and presentations from written transcription using firm wide templates and ensuring brand compliant
Support the E&R Chief of Staff to Global partner – arrange client meetings and input data onto a Deloitte eRoom and other ad hoc requests, and the DRM for his main client
Have knowledge of research databases and how to gather information on the E&R industry as required
Time and expense submission for Partner’s only
Organise internal/external client meetings (for Partners and Directors); book rooms; catering, AV if required
Events and involvement in ad hoc projects such as team away day, organising logistics.
SMARTnet - ensuring contacts/clients details are up to date.  Recording business development and relationship building opportunities for Partners
Work within the EA team, with the buddy system, covering for other EA’s when they are away or sick and helping out when required

Requirements
 
To qualify for the role you must have:

Advanced knowledge of software/telephone systems/intranet

Good knowledge of country locations and time zones

Advanced knowledge of Microsoft Office environment
Able to assist with Word/Excel/PowerPoint/SMARTNet/Finance queries

Ability to multitask
Confident, professional manner
Ability to communicate effectively at all levels, internally and externally; written and spoken
