About the role
Our client is seeking a highly organised and motivated person to join them as an Executive Assistant to support their Finance Director and Customer Experience Director.
The role will be based in their head office in Chippenham, so you are readily available to your Executive Directors and working side by side with your stakeholders.
The Executive Assistant will support the Finance Director and Customer Experience Director with a wide variety of tasks including diary and email management, taking calls and organising meetings.
You must be a confident and adaptable person with excellent interpersonal skills, able to build strong internal and external relationships so you can 'get the job done' swiftly and to a high standard.
While previous experience as an EA, PA or in a secretarial role would be beneficial, it's not essential.
If you can demonstrate a positive and professional outlook, fantastic organisational skills, and a strong sense of initiative, they'd like to hear from you.
Provide exceptional administrative support, including proactive diary management, anticipating events and deciding upon action required, acting upon key requests and resolving issues as they arise.
Interact with a variety of internal and external stakeholders to coordinate tasks, activities and meetings
Take calls and respond to emails on behalf of the Exec Director and provide resolution to queries where possible, always with professionalism and a can-do approach
Proactively manage/maintain electronic calendars and schedule telephone/video/meetings and other appointments.
Anticipate needs and ensure the Exec Director has the level of support they need to execute their duties brilliantly
Organise the distribution of documents as required and ensure the Exec Director has all relevant information to hand ahead of key meetings
Arrange travel itineraries, ensuring transport is booked in a timely manner, in line with policy, and with all documentation provided in advance of travel
Arrange team meetings/offsite events as required
Process and manage expense claims on behalf of the Exec Director, following prescribed processes and ensure governance of approval and submission
Maintain a well-organised electronic filing system for emails and documents
Uphold a strict level of confidentiality and integrity at all times, recognising the need for sensitivity and discretion.
