As a Medical information Administrator, you will provide administrative support to the Medical Information (MI) function. Respond to medical information requests from internal and external customers using pre-approved responses, under the guidance of the MI Officers and Senior MI Officers, including requests for literature and patient support materials.

Key Responsibilities
Manage all MI and library inboxes, faxes and Customer Records Management (CRM) database for customer enquires throughout the day.
Record all enquiries from health care professionals, members of the public and internal customers on to CRM system.
Under the guidance of the MIO/SMIOs respond to medical information requests from internal and external customers using pre-approved responses, including requests for PILs in Braille or audio and any product literature or clinical papers.
Prepare and disseminate communications to healthcare professionals, relevant key stakeholders and relevant medical publications of relevant changes to Janssen product information within specified timeframes and maintain accurate records.
Creation and management of team phone rota.
Provide second line cover for the MI call centre.
Assist the MI team with the uploading and cycle management of MI copy approval items in the electronic approval system.
Preparation and distribution of the MI monthly report and team Insight reports.
Ordering of health care professional and patient support materials via the order management system.
Ensure that the “out of hours” fax is received daily, ensuring that any out of hours’ calls are logged on the CRM system as per procedure and maintain accurate records.
Maintenance and distribution of Emergency Call Out List (ECOL).
Ensure that Data on File (DoF) documents are created, reviewed, approved and maintained in a consistent manner for all Janssen products using electronic approval system.
Respond to MI requests for literature and order articles from Copyright provider where required.
Co-ordinate medical publications and journal subscription ordering, in line with the needs of internal customers
Ensure that all UK & IE journals required are scanned for adverse event review in stipulated timeframe. Obtain reference numbers for those reports made to pharmacovigilance.
Arrange meetings (including choosing and booking the venue, arranging catering, making travel and accommodation arrangements).
Order stationary and any ad-hoc supplies for the team, including raising necessary Purchase Orders on eMarketplace.
Co-ordinate all arrangements for new starters (including organising a security pass, an invitation to induction training, and arrangements for a desk and equipment such as telephone and computer).
Raise purchase orders as required for the department.
Management of the MI answerphone system.
Manage and update the Medical Information section of the intranet site.
Contribute to the writing of Departmental SOPs in conjunction with other members of the Medical Information Team.
