Our client is an award winning contractor working in partnership with the Government to provide complete Facilities Management support across a number of locations in Wiltshire and Hampshire. We have a requirement for a Person Assistant who will be responsible for providing comprehensive organisational and administrative support to an Operations Director and Senior Leadership Team (SLT). This vacancy is based from Tidworth, Wiltshire with travel across the contract.

Key Accountabilities:

Provide a full range of high level administrative and secretarial support of all PA services to the Operations Director, involving flexibility, confidentiality and discretion, taking a proactive approach to day-to-day issues arising.

Manage diaries, SLT Location Plans, timesheets, annual-leave and sickness records for Team.

Arrange, co-ordinate and minute meetings; monitor/follow up on actions.

Ensure that the Operations Director is properly briefed on agendas and papers in advance of meetings as appropriate.

Monitor OSHENS incident reports and escalate potential lost-time incidents/other significant issues to the Operations Director.

Undertake research on behalf of the Operations Director and prepare briefing papers.

Produce analyses and reports, publicity articles, correspondence and presentations as required.

Take lead responsibility for specific projects as required.

Establish and develop effective working relationships at all levels with both internal and external stakeholders.

Liaise and co-ordinate with other PAs within the business.

Assist and support on internal communications work as required.

Organise and maintain systems for the storage and retrieval of information, and file documents.

Arrange and/or undertake as directed, document production services.

Produce a local Newsletter.

Co-ordinate/arrange catering as required; teas/coffees for meet and greet, organise lunches for meetings and events.

Respond to internal and external enquiries, and as far as is possible process these through to their resolution.

Co-ordinate/create posters and publicise charity events as required.

Skills & Experience:

GCSE (or equivalent) English Language and Maths

Valid UK Driving Licence

Proven experience of providing PA services to Senior Management, including proven ability to manage diaries, meetings and produce minutes.

Proven ability to prioritise tasks, pay attention to detail, work proactively and use initiative.

Ability to operate in a professional manner and with absolute discretion.

Experience and working knowledge of all Microsoft Office packages.

Experience gained in a process driven, customer facing FM environment. (Desirable)

Experience of working in a military environment would be an advantage. (Desirable)

Well-developed interpersonal and communication skills (both verbal and written) with the capability of building and maintaining effective working relationships with all stakeholders.

Able to carry out function in an organised and logical manner with a flexible and loyal approach.

Flexible approach to working hours and willing to work additional hours at short notice when required.

Enthusiastic, confident and self-motivated.

Ability to work on own initiative, accurately to tight deadlines, and to prioritise between conflicting demands.
