The Secretary/Receptionist is responsible for ensuring that all secretarial/reception support is provided for Grafton Manor and The Chantry. Based on Reception
Coordinate resident Progress Meetings and type and compile residents’ assessment reports.
Secretarial support including general office duties copy/digital audio typing, word processing, filing, photo copying, stationery ordering, looking after printer/fax/copier machines.
Greeting and providing refreshments for visitors and ensuring fire signing in procedures are followed, answering the telephone, dealing with outgoing mail, stationery ordering etc.
Ensure a quick and accurate turn around of work.
To act as Fire Marshall for Stable Block, offering guidance to any visitors as required.
Attend Manor Round each week and take minutes. Tidy up minutes, arrange for checking and photocopy then distribute as soon as possible.
Taking minutes at meetings as and when necessary.
To ensure electronic patient records are kept accurately on the Carenotes system, including assisting with inputting referral information, i.e. funder details, contact details etc., admissions and discharges and keeping records up to date.
To deliver and collect mail, paperwork etc., as and when required between the buildings on site.
To assist the Hospital Director in inputting and sending the monthly NHS Safety Thermometer data.
To assist the Hospital Director in inputting the monthly Ward to Board template information for submission to Information Management.
Keeping information up to date and disseminating to appropriate team members, e.g. Keyworker & Named Nurse lists, internal telephone number lists etc.
