PRMO:, established in 2001, Patient Revenue Management Organization (PRMO) is a fully integrated, centralized revenue cycle organization supporting all of Duke Health, including Duke University Hospital, Duke Regional Hospital, Duke Raleigh Hospital, the Private Diagnostic Clinic, and Duke PrimaryCare. The PRMO focuses on streamlining the revenue cycle through enhanced management of scheduling, registration, coding, HIM operations, billing, collections, cash management, and customer service. Job Description

Processes urgent requests from health care facilities and physician offices for medical record copies. Screens authorization to validate presence of HIPAA required elements. Reviews patient authorization to identify dates of service, provider and specific documents requested. Selects clinical documents from the electronic record for the purpose of fulfilling the request.


Responds to telephone calls from third parties asking for the status of medical record copy requests. Assists requestor in understanding what is needed for submission of a HIPAA compliant authorization, provides explanation for canceled requests and responds to general inquiries about obtaining medical records. Guides walk-in requestors in completion of authorization forms and supporting documents for release of medical records and verifies patient id entity. Posts checks for medical record copies and processes credit card payments.


Knowledge of HIPAA regulations, NC Statute and DUHS Policies pertaining to release of information.


JOB RESPONSIBILITIES & PERCENTAGE OF TIME SPENT:


(5%) Reviews patient authorization to validate HIPAA required elements and in lieu of patient authorization verifies through the electronic health record that health care facility/physician office has referring relationship to Duke and provides requestor with send back letter for any re quests identified as not valid and provides requestor with reason


(40%) Reviews request for medical records to identify dates of service, provider and specific documents re quested, enters into the electronic ROI module and retrieves clinical documents from the electronic health record and faxes to requestor


(10%) Posts payment for record copies into the electronic ROI module, processes credit card transactions and reconciles the cash drawer


(5%) Greets visitors to the HIM Department needing medical record copies and serves as a reference in the completion of authorization forms and supporting documents, verifies patient identity through review of government issues ID and prints records when ready for pickup


(40%) Serves as the front line through receipt of telephone calls from third party requestors asking for the status of medical record requests, assists requestors in understanding what i s needed for submission of a HIPAA compliant authorization, provides explanation for canceled requests and responds to general inquiries about obtaining medical records. Triages requests as needed to include next level of management. Performs other duties as assigned


EDUCATION / TRAINING:

High school graduate or equivalent.


EXPERIENCE:

Two years of administrative support experience of increasing variety and/or complexity.


KNOWLEDGE/SKILLSREQUIRED:

Creatively uses PC, word processing and other office tools.

Thorough knowledge of department policies, procedures and goals.
