Executive Assistant, Global Regulatory Relations & Policy

As the Executive Assistant to the head of the Global Regulatory Relations & Policy, you will provide support for all administrative and business needs. In particular, assistance with arranging meetings (internal and external with US regulators), entering and maintaining meeting entries into the Barclays Regulatory Engagement System (BRES) and uploading documentation on BRES. The role requires significant interaction with the offices of senior Barclays stakeholders and Barclays’ key regulators in the UK, US and abroad. Regular coordination with infrastructure, facilities, and other regional Regulatory Relations and Policy teams is necessary, in addition to the consistent maintenance of BRES to ensure completeness and accuracy.
What will you be doing?
•Arrange all regulatory meetings (PRA, FCA, FRBNY, FDIC, etc) for Senior Management (Board, Group ExCo & business ExCo members).
•Liaise with external Regulators’ Administration and other Barclays’ department assistants at Board / Group ExCo level to coordinate diaries across multiple stakeholders.
•Maintain/update calendar, arrange internal and external meetings, book conference rooms, conference calls and arrange video conferences as required.
•Enter and maintain meeting entries into Barclays Regulatory Engagement System (BRES) consistently; adhere to a control process for attesting to completeness and accuracy of one’s own work.
•Distribute letters from Regulators internally to initiate response, entry to BRES and tracking.
•Ensure briefing notes for senior management are provided on time from the regional teams for submissions.
•Process and reconciling expense reports.
•Answer phones in professional manner required at all times given senior level of engagement internally and externally.
What we’re looking for:
•4+ years administrative assistant experience in a corporate setting where strong planning and organization skills required.
•4+ years supporting senior staff in a highly confidential/discretionary environment.
•4+ years experience with the management of multiple forward-looking calendars.
•4+ years of high-level experience with MS Office, particularly Outlook.

•Highly professional manner, excellent attention to detail and ability to work to tight deadlines when under pressure.
•Enthusiastic, cheerful team player with a desire to work hard and learn about the firm/function/team.
