The Executive Assistant/Project Coordinator will support the Senior Vice President Transformation for UnitedHealthCare working closely with leaders who oversee network, clinical, operations, and technology for the combined benefits businesses comprising Commercial, Medicare and Medicaid.  This position will serve to support with traditional administrative / clerical tasks including: typing / word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, completing expense reports, greeting visitors, setting up files, and coordinating building and equipment maintenance. This position may also include project management and project coordination for enterprise wide initiatives requiring an ability to support teams in driving results across a matrixed environment.
 
Primary Responsibilities:
Provides administrative support to SLT leader. Plans, schedules, and organizes key meetings, travel, and conferences for the executive and their leadership teams
Handles calendar management for assigned leader(s). Understands key business priorities and proactively ensures that calendar schedules are reviewed daily and that conflicts are resolved in a timely manner
Works collaboratively with the administrative staff and chiefs of staff across the organization to ensure that deadlines for key deliverables are communicated and delivered on a consistent basis
Handles confidential and sensitive information, resolves routine questions, and escalates issues to the appropriate member of the Executive team in a timely manner
Prepare presentations using Excel, Word and advanced PowerPoint
Create executive presentations to illustrate project updates, action plan status, etc.
Provides oversight and support of executive communications; manages e-mails and expense reporting self-directed and works independently
Provide internal and external customer service to employees, vendors and clients
Updates and maintains the department files and shared drives
Maintains department reports, organization charts, software licenses and directories, as appropriate
Manages project communication channels as needed, including SharePoint
Owns and drives executive-level projects, including organizing and facilitating conference calls and meetings, and managing action items and follow-ups. Accountable for both the process and outcomes of such projects and meetings
Project status updates, will utilize influence management skills to obtain routine and ad hoc request on project updates and analysis
Manages multiple tasks / projects and deadlines simultaneously with meticulous attention to detail
Partnering with executive leadership to draft, edit and publish memos newsletters, articles, best practices, and other content across multiple mediums.
Create and actively maintain communications distribution lists.
Performs SLT administrative support duties, including but not limited to: Business Segment Liaison (BSL) activities, as needed (e.g., onboarding new team members, hardware / software acquisition, etc.);Expense management and travel coordination. Ensures equipment (PC, phone systems access) are ordered. Orders office supplies are ordered are maintained for the departments supported


Required Qualifications:
High School Diploma or GED
10+ years of administrative support in a corporate setting at least six of which have included support of senior executives
2+ years of project related work including project tracking or project management in a large complex matrixed environment
Intermediate or greater level of Excel, Word, Outlook and PowerPoint proficiency
Experience working in a fast-paced, matrix organization
Ability to effectively organize and prioritize work schedule and tasks
Ability to work independently and be flexible
Ability to provide high quality, consistent services to the various leaders within the
