The School of Medicine Human Resources Services Team (HRS) is in search of a candidate who is tech-savvy, motivated to accomplish tasks independently with minimal guidance, who is invested in maintaining a positive and productive work culture. The Human Resources Assistant will report into the Directing Business Partner for HRS providing administrative and operational support to the HRS Team, and the Human Resources Group (HRG), when required. This is a dynamic work environment with minimal supervision requiring the qualified candidate to be highly organized, extremely detail oriented, and able to multi-task with ease. The HR Assistant will proactively solve problems and handle issues that arise seeking guidance when needed. Regardless of assignment, demonstrated strong business judgment, professional etiquette, and exceptional analytical and problem-solving skills are expected.

Duties include:

Human resources transactional support.

Will advise departmental employment transaction originators on proper coding and other data points on transactions to assure compliance with School, University and payroll policy and regulation. Will audit completed transactions by running/reviewing activity reports. Resolves authority issues related to human resources administrative systems. Will be responsible for providing training to SoM staff on HRIS such as OpenText, PeopleSoft, BI, Axess.
Assist with scheduling, organizing, and operating conferences, seminars, and events, including copying and distribution of materials and administering logistics.

Will assist with events such as the HRG Retreat, HRG Social and Supervisory Conference. Will also assist with scheduling interviews for the groups/units supported by HRS, and Employee & Labor Relations. Will prepare salary and bonus letters for clients supported by HRS and will assist with other human resources functions such as onboarding and off-boarding of employees for the Dean’s units. Will assist ELR staff with all administrative requests including printing of reports, setting up appointments, requesting files from off storage location etc. Serves as a back-up for Axess Timecard review for HRG staff.
Create complex reports and spreadsheets which may utilize specialized software and systems.

Serves as a back-up for ASR appointments which requires running reports on Academic Staff Research for compliance and audit purposes, reviewing the information entered in the FASA and PeopleSoft to ensure accuracy.
This position will be located in Redwood City.

High school diploma and four years of administrative experience, or combination of education and relevant experience.
