Description of Duties/Essential Functions
The Illinois Department of Agriculture is accepting applications for the position of Office Administrator IV for the Bureau of Budget & Fiscal Services.
This position processes payroll for all permanent and temporary employees of the Illinois Department of Agriculture. This position reviews and verifies the final payroll vouchers upon return from the Office of the Comptroller, supervises distribution of payroll warrants, serves as retirement coordinator for the agency, and prepares various complex and technical reports for agency management and other agencies including: Central Management Services, State Employees Retirement Systems, Bureau of Labor Statistics, Social Security Administration and the State Comptroller's Office. The position supervises an Account Technician I position and seasonal/temporary employees assigned to the payroll office.
The Office Administrator IV under direction, serves as working supervisor of a small staff engaged in a variety of complex and technical functions requiring responsibility and technical knowledge relating to all facets of the agency's payroll unit.
Responsibilities of the OfficeAdministrator IVinclude:
- Assigns and reviews work.
- Reviews and verifies the final payroll vouchers.
- Supervises distribution of payroll warrants, earnings statements, bonds, wage assignments and tax levies.
- Serves in capacity as Retirement Coordinator.
- Prepares and/or supervises the preparation of various complex and technical reports for agency management and for other agencies.
- Serves as a liaison between the payroll unit and the agencies divisions and bureau personnel.
- Prepares and transmits instructions and directives regarding changes of policy in the payroll unit.
TRAINING AND EXPERIENCE:
- Requires knowledge, skill & mental development equivalent to completion of two years study at business college and two years office experience, or
- Completion of high school and four years Office Assistant experience or four years independent business experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Requires working knowledge of agency's program operations & policies.
- Requires extensive knowledge of the State's payroll system.
- Requires ability to direct and supervise.
- Requires knowledge of office methods, procedures, standard office machines and equipment.
Work Hours & Location/Agency Contact
Anticipated Starting Salary: $44,064/year - $48,096/year
Current bargaining unit employees: Current Bargaining Unit language applies
Full Bargaining Unit Range: $44,064/year - $64,104/year
8:00 am - 4:30 pm Monday - Friday
