ANNOUNCEMENT OF ADMINISTRATIVE NON-EXEMPT POSITION OPENING

APPOINTMENT: Administrative Non-Exempt, full-time, 12 months
STARTING SALARY: Commensurate with experience

DESCRIPTION: As a member of the University Communications department, the Production Artist will support the Director of Creative Services and the Creative team by coordinating and producing tactical efforts in support of strategic goals. Responsibilities include coordinating, designing, and producing graphics for print and digital; coordinating print vendors; coordinating photography and video shoots; digital asset management; providing services to clients across campus; and general administrative support.

KEY RESPONSIBILITIES:

Production Artist (Design Production)
Provide graphic design and project coordination support for creative, web, media relations, editorial, and marketing projects in University Communications, and for departments across the University. Develop print and digital materials including brochures, postcards, direct mail, digital ads, email banners, and more. Research and gather assets for teammates. Make type and layout alterations as requested by manager or client. Prepare design presentations (boards, mockups), PDFs, and/or color proofs. Prepare print specifications; request estimates from print vendors; obtain approval of estimates. Preflight artwork, submit final art to printer. Check printer’s proofs; attend press checks. Assist in designing and coordinating event display materials (pop up banners, trade show booths, posters, etc.). Submit ads to publications. Assist in coordinating department workflow. Assist in maintaining creative services projects list. Maintain file naming convention and organization of work in progress, along with archiving of digital files and visual assets. Coordinate, distribute, and maintain inventory of printed samples, including tri-annual Och Tamale magazine. Provide quality control. Other duties as assigned.

Digital Asset Coordination
Schedule photo shoots with freelance photographers. Assist photographers during photo shoots. Acquire assets from freelance photographers. Deliver images to teammates and clients in a timely manner. Select and source photography for Redlands.edu website. Maintain digital assets and online photo library; conduct research to determine the proper naming of people, buildings, events, etc.; add keywords, captions, titles to images, including photographer credits, for asset search optimization. Assist in ensuring photographer’s invoices are processed and paid. Obtain signed consent and release forms and file. Oversee part-time student worker (design and/or photography assistant). Serve University community by providing photo research as needed.

Administrative Support
Provide secondary backup for department phone: Answer phone, transfer calls, take clear and concise messages. Provide customer service in person or over the telephone, which requires a high degree of tact, professionalism, and institutional knowledge. Perform a variety of clerical duties, including filing samples and preparing FedEx packages. Run miscellaneous errands, such as delivering proofs, both on and off campus. Provide back up to cover administrative duties in the office. Assist in preparing agendas for weekly team meetings. Assist in forwarding print vendor invoices to University clients.

MINIMUM QUALIFICATIONS: This position requires a bachelor's degree in graphic design or a related discipline plus one (1) year of professional experience as an intern or staff member in an agency or in-house creative department. Successful candidate will have proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator), Microsoft Office (Word, PowerPoint, Excel), and online project management tools. Preference will be given to those with experience in higher education. Successful candidate must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.
