Description

Performs administrative assignments of a confidential, sensitive, and complex nature which may involve frequent interactions with contacts outside their work group or functional organization.  Consistently works on complex assignments and solves problems within situations ordinarily encountered.  Typically makes decisions within established policies and procedures and may make recommendations to management on operating policies and procedures.  Solves a broad range of problems. 
Exercises discretion and independent judgment and is capable of analyzing complex information requests and determining complex trends. Applies ability as technical/functional expert to contribute to development of concepts and techniques.  Acts as the specialist or subject matter expert in one or more specialized aspects of administrative duties. Uses various PC software packages such as spreadsheets, word processing, graphics, etc. to produce high quality reports, presentations, or other documents. Participates in broad projects and leads the completion of project components. 
This level supports Senior Level Director(s) or above.  Learning and developing professional expertise. Applies company policy and procedures to resolve a variety of issues. Works on projects of limited to moderate scope. Exercises judgement within defined procedures and practices. Receives general instructions on routine work, detailed instructions on new projects or assignments. Interacts with peers and stakeholders as required to complete tasks.  Responsible for maintaining and continuously improving the quality system and achieving quality objectives through daily actions.
The Opportunity:
Schedules appointments, meetings, and travel itineraries and coordinates related arrangements including securing visas and passports.
Maintains employee rosters for various teams.  This can include updating organizational structure in the HR System.
Researches, collects, compiles, and analyzes a wide variety of complex data and information requests.  Recommends procedures and maintains confidential records and files.
Leads or participates in organizing events, special programs, projects, and/or processes initiatives.  Coordinates all associated activities and adheres to established completion timelines.
Serves as the specialist or subject matter expert in one or more specialized aspects of administrative duties. 
Monitors and communicates to leaders regarding the completion of LSO training requirements for IT in Indianapolis.
Efficient and effective with MS Office, Google, Procurement, Expense Reporting and Workday tools. 
Provides backup support for the IT Executive Assistant as needed.
Who you are:
• High School Diploma or equivalent with at least 7 years previous administrative experience that includes supporting a senior leader of an organization or an Associate’s Degree with 5 years administrative experience or a Bachelor’s Degree with 2 year administrative experience
• Strong organization and planning skills
• Ability to handle multiple functions at one time
• Efficient and effective oral and written communication skills
• Advanced computer skills including the ability to do some advanced functions within various software packages.
• Demonstrated ability to exercise independent judgment and employ advanced reasoning skills.
• Ability to work with confidential information
