Position Summary:
As a member of our Administration / Workplace Services team, the Workplace Services Administrator is responsible for delivering Workplace and Administrative services within a medium-volume corporate office location in
Earth City, MO
. The Workplace Services Administrator coordinates and supports daily workplace services activities and processes, ensuring the effective delivery of services that meet or exceed established standards. This position has responsibilities across a multitude of support functions, including but not limited to: Workplace services and office administration, physical security/access control program, vendor coordination and emergency preparedness. We are seeking a dynamic hands-on candidate with the ability to coordinate services, resolve issues, and deliver high quality and efficient customer service in a dynamic, diverse and growing environment.
You would ensure all locations are operating properly and maintained, with a focus on building and occupant safety, office administration deliverables, financial performance, location aesthetics and continued readiness.
Provide support of the front desk reception area; serving as back-up coverage for existing Reception Services: Answering phones, registering visitors, checking IDs, and guiding guests/clients.
Proactively delivering and completing customer requests for meeting room scheduling, conference set-ups, equipment and catering needs, office and print supplies, janitorial services, food and beverage vending services.
You would manage the access control processes for the location: Create access cards /Photo ID, visitor cards, new employee access setups and maintain access control records while delivering frequent reports.
Assist with new employee on-boarding and office-wide awareness initiatives: Building & Fire Safety, Security programs, Workplace Services and Employee Engagement activities.
Directly supports Physical Security operations at assigned location. Receiving mentorship from Corporate Security and coordinating with security vendors to ensure program needs are met.
Coordinate or assist with vendor services, scheduling and escorting service and repair technicians. Ensures vendors follow on-site protocol and verifies proper completion of services.
Maintaining inventory of office and workplace services supplies to include ordering and stocking of supply closets.
Receive & distribute limited quantity of incoming mail, preparing outbound mail and express delivery services.
Coordinating light office maintenance, alteration of office areas, equipment and staff moves.
Builds relationships and partners with internal and external business groups to facilitate all administrative needs within the facility.
Handling confidential and non-routine information appropriately.
Identifying and analyzing problems through to resolution and bringing them to the attention of management. Implementing solutions in a timely manner.
Providing continual evaluation of processes and procedures. Implementing methods to improve area operations, efficiencies and service to internal clients.
Basic qualifications:
2-3 years of related Professional Administrative experience.
High school diploma or GED.
Preferred qualifications:
Associates degree or equivalent.
Demonstrated experience handing multiple demands, setting priorities, and having a high level of attention to detail to complete high quality work in a timely manner.
Strong analytical skills in dealing with ambiguity in energetic setting required.
Strong Office Management or Workplace Services experience.
Security background/knowledge is helpful.
Excellent verbal and written communication skills are required. Ideally you would have a good command of the English language, oral and written.
Ability to influence, negotiate and partner with stakeholders.
High-level of interpersonal skills demonstrating poise, tact and subtlety, while multi-tasking in changing an ever-changing environment.
Analytical experience in gathering, evaluating and summarizing data and recommendations into reports.
High level of proficiency in Microsoft Office, extensive Excel, SharePoint, accounting/purchasing platforms and web based applications.
